Update 1.2.0

In the new version 1.2.0 of Advanced KPI Extension a possibility to define lists of valid CRM users and groups for each set of KPIs has been added. When the widget is shown on Vtiger Dashboard, these users and groups can be selected to see individual or group KPIs. Summary KPIs are calculated as total among these valid users and groups, and not for the whole CRM data.

Basic Principles

Advanced KPI Widget dynamically represents efficiency of sales process based on CRM data from various modules. It can show metrics either for individual CRM user or for the whole company. Thus each team member can be always aware of his/her personal performance and also compare it to the average level.
Advanced KPI Widget does not contain any predefined formulas to calculate metrics. Instead, it relies on standard Vtiger reports. When you design a KPI, you select a report – as data source – and provide a formula to calculate the final value.
You can use date filters in Vtiger Reports to calculate KPIs for a specified day/week/month/quarter/year.
From each report Advanced KPI can extract two types of data:
Report records count – just a number of rows in the specified report. This can be used to extract values like leads or calls count, etc.
Calculated report values (Sum, Average, Lowest or Highest value) – if these values are configured for the specified report in the reports wizard. This can be used to extract money amounts, total or average call duration, etc.

Step by Step Instruction - How to Create Your Own KPI Set

1. To design a new set of KPIs, open Indicators module (in ANALYTICS section)
2. Press “Add Record”
3. Enter KPI Set Name
4. Press “Add Indicator”.
5. Enter Indicator Name and, optionally, Units (e.g. $ or %), Decimal places for number formatting and Description.
6. Then enter KPI formula expression in the text area below. To add report values select them in “Available reports values” combobox. Special variables will be automatically inserted. Each variable corresponds to a specific report. For each report you can choose to extract either records count (available for all reports) or Sum, Average, Lowest and Highest values (available for reports with calculations). The expression may contain arbitrary arithmetic operations.
7. Press “Save”
8. Repeat pp. 4-7 for each KPI in the set
9. In “Calculate for” field select one or more users and groups that will be valid for this KPI set. When the widget is shown on Vtiger Dashboard, these users and groups can be selected to see individual or group KPIs. Summary KPIs are calculated as total among these valid users and groups, and not for the whole CRM data.
10. Finally, press “Save” to complete KPI set creation
11. Now you can see your KPIs in Indicators module details view
12. To add the KPI set on Vtiger Dashboard, open Dashboard, then click “Add Widget” and then choose “My KPI Set” (or whatever you called it) in the list.
